Privacy Policy
Last updated October 25, 2026
We collect only what we need to run the community: your Discord and Roblox identity, what happens in our Discord and ER:LC servers, and the records staff create while moderating. We don't sell your data, we don't run ads or analytics, and this website has no tracking cookies.
Who this covers
This policy explains how Florida State Roleplay ("we", "us") handles information when you use our website, Discord server, Discord bot and ER:LC private server (the "Services"). It works alongside our Terms of Service.
Information we collect
When you log in to this website
We use Discord's login with the identify permission only. We receive your Discord user ID, username, display name and avatar. We do not get your email address, password, the other servers you're in, or your messages.
From our Discord server
- Your membership details in our server: roles, nickname, when you joined and boosting status.
- Messages and actions in our server that the bot needs for its features, such as commands, tickets, applications and AFK status.
- Server logs: our private staff log channels record events such as joins and leaves, role and nickname changes, voice channel activity, and edited or deleted messages (including their content).
Your Roblox account
- The link between your Discord and Roblox accounts, provided by Melonly verification or, where you haven't verified, a best-guess match using your server nickname.
- Public Roblox profile information: username, display name, user ID, avatar picture, account creation date and friend/follower counts.
In our ER:LC private server
Through the official ER:LC server API we receive information about players in our private server: Roblox username and ID, team, callsign, in-game staff rank, join and leave times, in-game commands, mod calls and kill logs. We use this to show live server info, keep player records, and send reminders to players who haven't joined the Discord.
Records created by staff and the bot
- Moderation: warnings, timeouts, kicks, bans, points, staff infractions and promotions, with the reason, date and the staff member responsible.
- Applications: your answers, the decision and any decision note.
- Tickets: the reason you gave and the conversation. When a ticket closes, a transcript is saved to a private staff channel and a copy is sent to you.
- Staff activity: for staff members, shift status from Melonly, training ride-alongs and staff requests.
Text-to-speech
If you use the bot's text-to-speech feature, the text you submit is sent to Google's text-to-speech service to create the audio.
Cookies
This website uses only the cookies it needs to keep you logged in. There are no advertising, analytics or third-party cookies, and the site loads no third-party scripts.
| Cookie | Purpose | How long |
|---|---|---|
fsrp_session | Keeps you logged in (a random token; your session details stay on our server) | 7 days, or until you log out |
fsrp_state | Protects the Discord login from being forged | 10 minutes, during login |
fsrp_next | Remembers which page to return you to after logging in | 10 minutes, during login |
The website doesn't keep a log of visitors' IP addresses. The bot does record logins (your Discord username and ID) and failed login attempts, so staff can troubleshoot and spot misuse.
How we use your information
- To run the Discord server, the private ER:LC server and this website, including sessions, verification, tickets and applications.
- To moderate the community and keep it safe, including enforcing our rules and handling appeals.
- To manage the staff team: ranks, training, shifts and staff requests.
- To show you your own information on your profile page.
- To fix problems and protect the Services from abuse.
We don't use your information for advertising, and we don't make automated decisions about you beyond the bot's rule-based features (for example, reminders and the in-game jail for players who haven't joined the Discord). Staff can always review those.
Who can see your information
- You: your profile shows your own linked Roblox account, moderation record, applications and open tickets. The names of the staff behind moderation actions are hidden there.
- Our staff team: staff can see moderation records, tickets, applications and player information in Discord and in the staff panel, as needed for their role. Some areas, such as Internal Affairs reports, are limited to specific teams.
- Other members: things that happen publicly in the Discord or in-game, like messages in public channels, are visible to other members as normal.
We do not sell your information or share it with advertisers.
Services we rely on
To provide the Services, information passes through these providers, each under its own privacy policy:
- Discord: hosts our server and handles website login.
- Roblox: public profile lookups.
- Police Roleplay Community (ER:LC API): live data from our private server.
- Melonly: Discord–Roblox verification and staff shifts.
- Google: text-to-speech, only when you use that feature.
The bot and website run on hardware operated by the Florida State Roleplay team, not by a commercial hosting company. We may also share information if the law requires it, or to protect the safety of our members.
How long we keep it
| Information | Kept for |
|---|---|
| Website login sessions | 7 days, or until you log out |
| Cached Discord–Roblox links | Up to 7 days (or 1 day if no link was found), then checked again with Melonly |
| Moderation records, applications and ticket transcripts | As long as they're needed to run and moderate the community, for example so a ban can be enforced or an appeal reviewed |
| Player activity (such as when you were last seen in-game) | While you're active in the community |
| Staff log channel messages | Until removed by staff |
Your choices and rights
- See your data: log in and open My profile, or ask us for a copy.
- Correct it: if something is wrong, such as a mismatched Roblox account, open a ticket. You can re-verify with Melonly at any time.
- Delete it: you can ask us to delete your information. We'll remove what we can, but we may keep moderation records needed to enforce our rules (for example, a ban) or to protect other members.
- Log out: use the Log out button to end your website session straight away. You can also remove the app's access from Discord under User Settings → Authorized Apps.
- Leave: you can stop using the Services at any time by leaving the Discord server.
Depending on where you live, you may have extra rights under local privacy laws; we'll honour those where they apply.
Children
Discord and Roblox require users to be at least 13 (or older in some countries), and so do we. We don't knowingly collect information from anyone under that age. If you believe a child under 13 is using the Services, let us know in a ticket and we'll remove their information.
Keeping your information safe
The website is served only over HTTPS. Login cookies can't be read by scripts on the page, staff access is re-checked on every request, and forms are protected against forgery. Staff tools are limited to the staff team. No system is perfectly secure, but we take reasonable steps to protect your information and will tell affected members if something goes wrong.
Changes to this policy
We may update this policy as the Services change. We'll update the date at the top of this page and, for significant changes, announce it in the Discord.
